Office 365 Migration Guide

RITE has started migrating faculty and staff from our current on premise email environment (Exchange 2007) to the new cloud-based Microsoft Office 365 platform. Users will be migrated on a department by department basis. Offices will be notified when their department is scheduled.

 

The information below will help you get ready for the migration to Office 365, and will give you an idea of what to expect before, during and after the transition.

 

Prior to Migration:

Here are some things you can do to prepare for the migration:

 

  • Clean your mailbox: Prior to migration, it's a good idea to 'declutter' your mailbox by deleting unnecessary email messages from your account. This will help reduce the amount of data that has to be migrated which will help reduce the overall migration time. The Mailbox Cleanup tool can help you identify old messages and messages that are taking up a lot of space.

 

  • Note Outlook customizations: Prior to migration, take a moment to note some of your Outlook customizations. For example, you may want to make note of things such as your email signature, stationery, font size and color and folders that you’ve added to Favorites.

 

During Migration:

 

Here is something to be aware of during the migration:

 

  • Brief Email Disruption: During migration, depending on when your mailbox is moved, you may experience a brief disruption in email. If this happens, you'll see a message like the one below that Outlook is "Disconnected". This is normal and shouldn't last too long. Close Outlook, wait a few minutes, and then launch Outlook again. You may have to repeat this a few times until it says "Connected to: Microsoft Exchange" at the bottom.

 

 

 

 

 

After Migration:

Here are some things to be aware of after the migration:

 

  • Outlook 2013 and Outlook 2011: After migration, you can continue to access your email from your campus workstation using the desktop version of Outlook 2013 (PC) or Outlook 2011 (Mac).  No reconfiguration is necessary.

 

  • Outlook Web Access: After migration, you will need to visit this new address to access Outlook Web Access: https://outlook.office365.com/owa/buffalostate.edu. You’ll no longer be able to login using the Faculty/Staff Email link on the MyBuffState page.

 

  • Confirm Outlook customizations: After migration, take a moment to confirm that the Outlook customizations (the ones you took note of above) are in place. In some cases, you may need to redo your email signature, stationery, font size and color or folders that you’ve added to Favorites.

 

  • Reconfigure your mobile devices: After migration, you will need to reconfigure your mobile devices (tablets and smartphones). Instructions for your device can be found here:

 

 

Enjoy More Space and New Tools!

  • Enjoy a much bigger mailbox! Your mailbox size will increase 50 times from the current 1GB limit to 50GB. You can confirm this in Outlook by clicking File and looking at the status bar under Mailbox Settings.

 

  • Enjoy 1TB of online file storage with OneDrive! In addition to a bigger mailbox, your Office 365 account includes 1TB of personal online storage with OneDrive for Business. That’s about two thousand times bigger than your personal network drive! And OneDrive makes it super easy to share files with your Buffalo State colleagues and sync your files across devices.

 

  • Enjoy new collaboration tools! Your Office 365 account includes many new online services and collaboration tools including Word Online, PowerPoint Online, Excel Online, Yammer and OneDrive (to name a few).
